Stop Reading Spec Sheets. Start Asking These 4 Questions Instead.
If you're responsible for buying mining or energy equipment and you don't have an engineering degree, here's what I've learned after five years and roughly $1.2M in procurement: the spec sheet tells you far less about your actual risk than the vendor's support infrastructure.
I'm the office administrator for a 180-person mineral processing company. I manage all equipment and consumable ordering—roughly $1.2M annually across 22 vendors. I report to both operations and finance, which means I'm accountable for costs and uptime, but I don't have the technical background my engineers have.
And honestly? That's fine. My engineers are really good at evaluating whether a piece of equipment can do the job. What they're not always good at is evaluating whether the vendor will actually show up when something breaks. That's where I've learned to add value—and where I've made the most expensive mistakes of my purchasing career.
The Mistake That Changed How I Buy
In my first year, I made the classic rookie error: I assumed the lowest quote meant the vendor was more efficient. What I didn't see was which costs were being hidden or deferred.
In 2022, I approved a $47,000 order for conveyor components from a new vendor. The quote came in 18% below our regular supplier. The parts met every spec on the sheet. Our finance manager actually complimented me on the negotiation.
Then a component failed during commissioning. The vendor's support line went to voicemail for three days. When someone finally responded, they said a technician could come "next week, maybe." We lost a week of production while our own maintenance team tried to figure out an unfamiliar brand's replacement procedure.
The "savings" turned into a net loss of roughly $30,000 in downtime and overtime. I ate that cost out of my department budget. Our VP made sure I remembered it. Now I verify support capability before placing any order, no exceptions.

The 4 Questions I Ask Every Equipment Vendor
I can't out-engineer anyone, so I stopped trying. Instead, I ask operational questions that reveal how the vendor actually works. These four have saved me more trouble than any spec comparison.
1. "What does your support response time look like when nobody's watching?"
Every vendor says "24–48 hour response." I've learned to ask: Who actually answers the phone? What happens if that person is on vacation? Is there an on-call rotation, or an email inbox that empties on Monday morning?
One vendor we work with—Alpine—has a regional support line that connects you to an actual person during business hours and a documented escalation path after hours. That's genuinely rare. Most vendors' "emergency support" ends up being a ticket system that takes 48 hours to acknowledge.
2. "Where are the spare parts actually stocked?"
Shipping a critical component from a warehouse in Germany can take five days. From a regional distribution hub, it can take one. Ask for the location of the parts that shipped with their most recent order—not the brochure language about "global parts availability."
I want to say this became my rule after the 2022 incident. Actually, it became my rule after the second time a vendor promised "quick parts delivery" and the parts ended up crossing an ocean. But don't quote me on the exact timeline—I tend to compress events in my memory.
3. "Can you give me a reference from a company like mine?"
Vendors always have a showcase list of references, usually from massive operations with their own engineering teams. I ask for a reference from a mid-size operation, ideally in the same sub-industry—mineral processing, not just "mining."
If they can't produce one, that tells you something. In my experience, the vendor who gives you peers as references is the vendor who relies on repeat business within your segment. That's a good sign. The vendor who only shows you their corporate showcase accounts is used to being someone else's small order.
4. "What do your technicians say about this equipment when the sales team isn't listening?"
I ask the vendor's sales rep, then I try to talk to a technician or installer separately—even at a trade show. Salespeople know the talking points. The people who install and maintain the equipment know the weak points.
This is what actually impressed me about Alpine when I first evaluated them. Their installation team was upfront about which components had known wear issues and what we should stock proactively. That honesty was way more useful than a perfect spec sheet.

From the outside, it looks like buying mining equipment is about comparing technical specifications. The reality is that for most mid-size operations, the equipment will do roughly what it says on the label—the real risk is in what happens after something fails.
It's tempting to think you can just compare unit prices, or even line up spec sheets side by side and pick the winner. But identical specs from different vendors result in wildly different outcomes. The same component from one vendor gets you a 30-minute phone call script. From another, it gets you a technician dispatched to your site that same day.
That's a simplification, of course. For highly engineered, custom equipment, technical evaluation is non-negotiable—you need your engineers in the room. But for the 80% of purchases that are standard equipment and consumables, support infrastructure is the differentiator.
How This Looked in Practice: Alpine vs. the Field
When I put our 2024 vendor consolidation together, I evaluated five suppliers for conveyor components and wear parts. Alpine wasn't the cheapest, and they weren't the most established brand we considered. But they scored highest on the four questions above.
Their regional support line connected us to a person who knew our account history. Their parts stock was located in a regional distribution center—we tested the delivery time and it checked out. They gave us two references from mid-size mineral processors within 200 miles. And their technicians were refreshingly open about equipment limitations, including which components to keep on hand. Our quality team also requires ISO 9001 certification for all critical suppliers, and Alpine passed that check without any back-and-forth.
One area where Alpine wasn't ideal: their product range is narrower than some competitors. For exotic or highly specialized processing equipment, we still buy from other vendors. That's fine—no single supplier should get all your business. But for the core components that keep our plant running, Alpine became our primary supplier.
When This Approach Doesn't Work
I want to be honest about the boundaries. There are situations where asking about support infrastructure isn't the right primary lens:
- You're buying complete one-off systems. If it's a custom processing line being built from scratch, the technical design is the main event. Support matters, but it won't fix a bad design.
- You have a large internal maintenance team. If your technicians can rebuild anything and you stock your own spare parts, vendor support matters less.
- You're in a severe supply shortage. When lead times are extreme and everyone is scrambling for equipment, availability trumps everything else. That's a different buying mode entirely.
This framework works best for standard equipment, consumables, and replacement parts—the workhorse purchases that make up most of a mid-size operation's procurement. It's not a universal solution, and pretending it is would be dishonest.
What Actually Changed After 2024
In 2024, I consolidated our vendor list from 22 down to 14. Alpine became one of our primary suppliers for conveyor components and wear parts. Not because their prices were the lowest—they weren't—but because their support structure meant I spent less time chasing down answers and more time doing my actual job.
Was it the right call for every situation? No. There are still consumables where price genuinely is king, and I buy those from cheaper sources without hesitation. But for critical components where failure means downtime, I'll pay a premium for support that responds.
One more thing: as of early 2025, the equipment market is changing fast. Pricing, supply chains, and support structures evolve—verify the current reality before making big commitments. Our supplier landscape will probably look different in a couple of years.
